Overall Purpose

 

A successful Yacht Manager with Hill Robinson USA will have demonstrated experience and knowledge of the yachting industry. This position involves working to ensure resources are in place for the smooth and safe operation of our fleet vessels. Areas of responsibility include safety and compliance administration, technical and emergency support, crew management, financial administration and shoreside support. The Yacht Manager is the central point of contact for all vessel operations and is responsible for regular reporting to the owner. 

This role is diverse and tasks to achieve can vary daily and on an as needed basis.

 

Duties will include but not limited too

  • Point of contact for captains; effectively and efficiently communicate with captains and crew.
  • Monitor monthly budgets and communicate/anticipate overages, purchasing and spending thresholds; approve invoices, advice on monthly funding requests.
  • Coordinate and review insurance, VSAT (and other communications,) vendor and other service contracts and T&C’s.
  • Produce monthly and yearly owner reports.
  • Facilitate good flow of communication between yacht and other departments at Hill Robinson.
  • Working closely with their Client Service team, the Yacht Manager is responsible for the operation of their assigned yachts.
  • Compile Client focussed reports providing economic analysis of each vessel at the same time exploring areas for improvements that could lead to potential cost savings and improved efficiencies across the fleet.
  • Ensure common working practices and reporting formats are adhered to and deadlines are maintained and met.

 

Safety Administration and Technical Support: 

  • Maintain robust compliance processes in the US, ensuring adherence to national and international maritime regulations. 
  • Yacht compliance working directly with applicable Flag states, Class societies and Port State Control. 
  • Execution of compliance audits and inspections for US fleet yachts, addressing findings and implementing corrective actions. 
  • Review monthly ISM meetings and follow through to close open issues. 
  • Working with the vessels, update and produce safety manuals, annual SMA and SSP reviews. 
  • Liaise with the project manager to assist with refit work; arrange statutory Class and Flag surveys and attendance. 
  • Support yachts in emergencies including incident/accident reporting and insurance claim coordination. 

 

Crew Management: 

  • Working with the employer, coordinate all captain / crew employment procedures and employment terms. 
  • Advise on crew selection; ensure certification is correctly verified; coordinate employment contracts with employer. 
  • Manage and review annual crew appraisals; advice on dismissals; coordination of departures and/or terminations. 
  • Working with the employer and yacht accountant, monitor payroll, communicate changes or other issues. 

Finance: 

  • Establish, monitor and analyse monthly budgets, communicate/anticipate expenditure, purchasing and spending thresholds; approve invoices, advise on monthly funding requests etc working together with Yacht Accountant(s). 
  • Working with the Yacht Accountant(s) and other parties as relevant (Captains, Pursers, Crew Manager, Training & Development Manager, Technical/Project Managers), prepare the budget for the year ahead (normally November) with a review mid-year (normally June). 
  • If required, present budget on Teams or in a client meeting. 
  • The Yacht Manager should drive, control, and report on the (consolidated) budget. 
  • Continually monitor expenditure against budget and analyse variations. This is done with a view to anticipate and prevent any budget over runs. 

 Experience as C/O full ISM boats – >500Gt or bridge experience on cruise ships USCG etc would be desirable .

Degree educated:

 

  • College degree or other related degree preferred; or equivalent experience.
  • ISM Auditor’s Course and / or other maritime training an advantage.
